• Venue or technical requirements change.

• Timelines or working hours change.

• Third-party supplier costs change.

• Additional transportation, manpower, permits, approvals, or production requirements arise.

A project will only be considered confirmed once the required approval, signed agreement, purchase order and/or agreed advance payment has been received.

4. Payments

Payment terms will be stated in the relevant quotation, proposal, invoice, purchase order, or service agreement.

Unless otherwise agreed in writing:

• Payments must be made according to the agreed payment schedule.

• Bros Mastermind reserves the right to delay or suspend work where payments are overdue.

• Additional work outside the approved scope may be charged separately.

• Bank charges, taxes, government fees, permits, customs duties, or similar charges may be payable by the client where applicable.

5. Project Scope & Changes

Services will be delivered according to the approved quotation, proposal, design, drawing, production specification, or scope of work.

Any modification requested after approval may result in:

• Additional charges.

• Revised production timelines.

• Additional material or manpower requirements.

• Changes to the agreed delivery or installation date.

Changes must be approved by both parties before implementation where commercially practical.

6. Designs, Concepts & Approvals

The client is responsible for reviewing and approving designs, layouts, measurements, materials, artwork, branding, technical specifications, and other project elements before production.

Once approval is provided, Bros Mastermind will not be responsible for errors, changes, or additional costs resulting from information or materials previously approved by the client.

Colors, materials, finishes, dimensions, and visual representations shown digitally may vary slightly from the final physical production due to manufacturing processes, materials, lighting, printing, or screen differences.

7. Client Responsibilities

The client must provide all necessary information, approvals, artwork, branding guidelines, venue requirements, access permissions, technical specifications, and other materials required to complete the project.

Delays in receiving client approvals or required information may affect production and delivery schedules.

The client is responsible for ensuring that any materials, logos, trademarks, photographs, videos, or intellectual property supplied to Bros Mastermind can legally be used for the intended project.

8. Production & Installation

Production and installation timelines are estimates unless specifically guaranteed in writing.

Bros Mastermind will use reasonable commercial efforts to complete projects within agreed timelines. However, timelines may be affected by circumstances beyond our reasonable control, including venue restrictions, supplier delays, authority approvals, logistics issues, weather conditions, transportation disruptions, or force majeure events.

9. Venue Access & Site Conditions

Where work is carried out at a client or third-party location, the client must ensure that appropriate site access, permissions, approvals, loading access, working hours, utilities, and safety arrangements are available.

Additional charges may apply where unexpected site conditions, restricted access, waiting times, additional permits, or venue requirements result in additional work or costs.

10. Cancellation & Postponement

Cancellation or postponement terms may vary depending on the project and will be specified in the relevant quotation or agreement.

Where a confirmed project is cancelled, the client may remain responsible for costs already incurred, including:

• Design and planning.

• Materials purchased.

• Fabrication already completed.

• Third-party supplier commitments.

• Labour and manpower bookings.

• Logistics and transportation.

• Venue or authority-related costs.

Deposits or advance payments may be non-refundable where costs have already been incurred or resources have been committed.

11. Third-Party Suppliers

Bros Mastermind may engage third-party suppliers, contractors, venues, logistics providers, technical providers, or specialists where necessary.

While reasonable care will be taken in selecting such suppliers, Bros Mastermind will not be responsible for circumstances outside its reasonable control arising from third-party performance.

12. Intellectual Property

All original concepts, designs, drawings, renders, presentations, proposals, production methods, technical plans, and creative materials produced by Bros Mastermind remain the intellectual property of Bros Mastermind unless otherwise agreed in writing.

Clients may use final approved deliverables for their intended project once all applicable payments have been completed.

Unapproved concepts, proposals, drawings, or creative materials may not be reproduced, shared with third-party suppliers, modified, or commercially used without written permission from Bros Mastermind.

13. Photography & Portfolio Use

Unless otherwise agreed in writing, Bros Mastermind may photograph or record completed projects and use such material for portfolio, website, social media, award submissions, presentations, and promotional purposes.

Confidential projects or restricted projects will be handled according to any separate confidentiality agreement entered into with the client.

14. Website Content

All website content, including text, graphics, photographs, videos, logos, project images, designs, and other materials, is owned by or licensed to Bros Mastermind unless otherwise stated.

Content may not be reproduced, distributed, published, modified, or commercially exploited without prior written permission.

15. Accuracy of Information

We aim to keep information on our website accurate and current. However, website information may occasionally contain errors, omissions, or outdated information.

Confidential information received from clients will be handled with reasonable care and will not be intentionally disclosed to unauthorized third parties except where required for project execution, required by law, or otherwise authorized by the client.

Separate NDAs or confidentiality agreements may apply to individual projects.
